Trekup India runs all ground operations in-house, so cancellations from our side are rare. If a trek is cancelled for personal reasons, weather, government regulations or any other circumstance, this policy applies. If you cancel, the schedule below applies. If Trekup India cancels the trek, see Cash refunds and Force majeure below.
Booking tip: Book at least two months in advance to secure your spot and allow smooth coordination.
How to cancel: Submit a cancellation request through the Trekup India website and inform your trek coordinator. The person who made the booking can cancel for the whole group or for individual trekkers.
When you cancel, the refund depends on how many days remain before your trek start date. Refunds are issued as a Trek Voucher valid for 12 months, not as cash.
| Days before trek start | Deduction (of invoice amount) | Trek Voucher issued | What the deduction covers |
|---|---|---|---|
| 21 or more | 10% | 90% | GST and transaction charges |
| 15 to 20 | 30% | 70% | GST, transaction fees, base accommodation, ration |
| 7 to 14 | 50% | 50% | GST, transaction fees, accommodation, trek leaders, permits, equipment |
| 1 to 6 | 100% | None | All arrangements are already made and the trek is ready to depart |
| Trek day, or no-show without prior communication | 100% | None | All arrangements are already made |
If you change your trek date, the booking can no longer be cancelled (see Trek Date Change Policy). Transport, backpack offloading and rental gear have their own rules (see Add-on services below).
Apart from the Free Trek refund described below, a cash refund is given only when Trekup India cancels a trek for a reason within its own control, for example when the minimum group size of 6 trekkers is not reached. In that case you receive a cash refund of the amount you paid.
No cash refund is given in these cases:
If a trek is cancelled before it starts because of events beyond our control, such as natural disasters, severe weather or sudden government orders, we review each case and offer the best possible alternative.
If the trek has already started and you cannot complete it for any of these reasons, the Free Trek Completion Policy applies instead.
A Trek Voucher is the balance left after the cancellation deduction. It is valid for 12 months from the date of issue and appears directly in your Trekup India account.
What it can be used for: Any trek, tour or yatra in India operated by Trekup India Adventures Pvt. Ltd. It cannot be used for international trips.
Terms:
Cheaper or costlier treks: If the new trek costs more than the voucher, you pay the difference at the time of booking. If it costs less, the unused balance stays on the voucher until its expiry date.
If you cannot use your voucher within its 12 months, you can extend it once for a fee. The fee is deducted from the voucher amount.
| Extension | Fee (of voucher amount) | Example on a ₹10,000 voucher |
|---|---|---|
| 6 months | 15% | ₹1,500 fee, ₹8,500 left |
| 12 months | 30% | ₹3,000 fee, ₹7,000 left |
Rules:
Use your voucher as early as possible in the extended period to get your preferred trek and dates.
We try to accommodate date changes wherever possible. Submit your request through the Trekup India website at least 10 days before your original trek start date.
Fee: Your first date change is free. Any later date change costs 10% of the invoice amount.
Conditions:
Date changes are not accepted:
For questions, contact your assigned trek coordinator.

Every trek has a fitness requirement, shared on its trek page. The Trek Leader's decision on safety is final.
These rules apply only to services you booked separately. Some treks include transport in the trek fee. For those treks there is no separate transport booking, and the transport follows the cancellation schedule above.
Wherever a 90% refund is stated, the 10% deduction covers transaction charges. Refunds go to your original payment method within 7 to 10 working days, usually sooner. If you paid with a voucher, the refund is credited back as a voucher, as long as it is still valid.
On the day:
Offloading is arranged in advance through mules or porters. Once the trek begins, these arrangements cannot be changed or refunded.
If you cannot complete a trek after it has started, for a reason listed below, you may be eligible for a Free Trek. You return to complete the same trek, and the trek fee you pay for it is refunded in cash after you finish. Approval depends on the eligibility rules and documents in this section. A Free Trek is separate from the Trek Voucher issued on cancellation.
A Free Trek is not given if you are sent down for breaking trek rules, or if you leave the trek by your own choice for a reason not listed above.
If you leave the trek for a medical reason, Trekup India will ask for documents showing you were unable or medically unfit to continue. These may include:
Conditions:
Costs of descent: If you descend because of your own medical condition and return to the city, you pay your own descent costs: mules, porters, transport and medical fees. After this, you can apply for a Free Trek.
If a genuine and serious family emergency forces you to leave, tell your Trek Leader immediately. You will descend at the earliest safe and operationally feasible opportunity, as decided by the Trek Leader and the operations team. Reasonable supporting documents may be required.
You bear all expenses of your return or early departure, which may include:
Email trekops@trekupindia.com about your free trek within 14 calendar days of the date you could not complete the trek. This applies to every reason listed above. Attach any supporting documents from your side, such as medical documents or proof of a family emergency. Trekup India already holds the trek records, so you do not need a recommendation from the Trek Leader or Slope Manager.
If your claim is approved, your trek coordinator sends you a written email confirming that you are eligible for a Free Trek. You can book your free trek only after you receive this email.
The approval lets you return and attempt the same trek at a later date, subject to availability. It:
After you receive the approval email, follow the normal booking procedure:
After you complete the trek, the eligible trek amount is refunded in cash to your bank account within 14 working days, subject to verification and compliance with this policy. The refund is paid as money, not as a voucher or credit.
You can cancel or change the date of a Free Trek booking. A cancellation follows the standard cancellation schedule above, and a date change follows the Trek Date Change Policy. A Free Trek approval can be used only once, so cancelling a Free Trek booking does not give you a new approval.
The refund covers the trek fee only. You pay for everything else, including:
The Free Trek approval is valid for 2 years from the date of your approval email. You must book and complete the trek within this period. After it expires:
If the trek price rises between the date of your approval email and the date you book, you bear the difference. You pay the full price when you book, and the refund is limited to the trek amount at the time of your approval. The applicable price is the one Trekup India communicates when you book. If the price falls, you pay the lower price at booking and the refund is the amount you paid.
Example: This year the trek fee is ₹5,000 and you receive your approval email. Next year the same trek fee is ₹5,500. You pay ₹5,500 at booking. After you complete the trek, ₹5,000 is refunded to your bank account, and you bear the ₹500 difference.
Trekup India may reject or cancel a Free Trek approval in cases of:
In such cases the approval may be cancelled and no refund will be paid under this policy.
