Cancellation Policy
There is high excitement or can say next level joy in planning your trip outdoors, however when it gets cancelled there is always a pain with hope to make oneself understand we will plan next time. Though Trekup India carries all ground operations hence there is a very rare chance that treks are cancelled from our end , however if it gets cancelled from trekkers end or because of any unforeseen circumstances, weather condition, govt. regulation or any other region beyond our control than following cancellation will be applicable.
It is wise to make your booking at least two months in advance. In the event of cancellation of trek/adventure activity services due to any avoidable / unavoidable reasons we must be notified of the same in writing. Cancellation charges will be effective from the date we receive advice in writing.
We bring you most fair, feasible and convenient cancellation policy as under:-
Cancelling prior 21 days from trek start date – 10% deduction of the invoice amount towards GST & transaction charges, 90% is refunded as trek voucher with 1 year validity.
Cancelling prior 15-20 days from trek start date – 30% deduction of the invoice amount towards GST, Transaction, accommodation at Base, ration, etc. 70% is refunded as a trek voucher with 1 years validity.
Cancelling prior 7-14 days from trek dates – 50% deduction of the invoice amount towards GST, Transaction, accommodation at Base, ration, Trekleaders, permits, equipment etc. 50% is refunded as a trek voucher with 1 year validity.
Cancelling prior 1-6 days from trek dates – 100% deduction of the invoice amount As all arrangements are made by Trekup India and we are set to take you on a trek.
Trek Voucher Policy
To ease cancellation fees and amounts, Trekup India Adventures Pvt. Ltd. offers a Trek Voucher with a 12-month validity from the date of issue. Below are some points to understand the trek voucher.
What is the Trek Voucher
When you cancel the trek, it is cancelled strictly as per the company cancellation policy (https://www.trekupindia.com/cancellation-policy). As per the cancellation schedule, a cancellation fee is deducted, and the remaining amount is refunded in the form of a trek voucher with a 12-month validity, which can be used in any trek/tours/yatra trip with Trekup India Adventures Pvt. ltd.
How do you get a Trek Voucher?
Once you have decided to cancel your trek, you simply need to send an email to cancel@trekupindia.com; within 24 working hours, you will get a revert back of your email with details of your cancellation and, if applicable, trek voucher details, which contains the following information:-

- Booking Person name –
- No. of Person Booked –
- Invoice Amount –
- Advance Paid Amount –
- Cancellation Fee –
- Voucher refund Amount –
- Trek Voucher Number –
- Trek Voucher Amount –
- Voucher Issued Date –
- Voucher Expiry Date –
Terms and Conditions of Trek Voucher
1. Once the Trek Voucher is issued, it can not be reissued or changed
2. The Trek Voucher will be valid for 12 months from the date of issue
3. The Trek Voucher Amount can be used in any trek/tour/yatra booked with Trekup India Adventures Pvt. ltd.
4. In order to redeem the Voucher it will be used exactly for the number of persons it has been issued.
5. The Trek Voucher will be used to settle the due amount, it can not be redeemed to generate a new booking
6. In case you are unable to personally come on the trip, you can gift this voucher to your family member.
7. The Trek Voucher can not be extended beyond the expiry date
8. Once the voucher has been redeemed, the respective amount can not be re-issued if you plan to cancel.

Trek Date Change Policy
At Trekup India Adventures Pvt. Ltd., we understand that plans can change and strive to accommodate our trekkers’ needs wherever possible. Below are the guidelines for changing trek dates:
Eligibility for Date Change and Fee
- Date changes are allowed up to 15 days before the trek start date
- Date changes are subject to availability and confirmation from Trekup India Adventures Pvt. Ltd.
Process for Requesting a Date Change
Submit a written request via email to cancel@trekupindia.com with your booking details
Provide the following information: –
- Booking Id:-
- Booking Person Name:
- Trek name:
- Existing Trek Date:
- New Trek Date:
- Charges for Date Changes
10% of the Invoice Amount per date change will apply
Conditions for Date Change Approval
- The request must align with the trek’s scheduled availability.
- The new date should fall within the same trekking season.
- If the trek cost varies between the original and new dates, the difference in cost will be payable.
Non-Eligibility for Date Changes
- Requests made within 15 days of the trek start date
- If the trek has been cancelled due to circumstances beyond our control (e.g., natural disasters, government restrictions, or force majeure).
Important Notes
- Date change requests will not be processed for no-shows or if trekkers fail to report on the scheduled date without prior notice.
- If the requested date is unavailable, you may opt for a trek voucher of equivalent value, valid 12 months from the issue date.
- Once the date change is done, the booking shall not be liable for cancellation.
- A date change will only proceed when receiving a written email from the booking person; no verbal, text or Whatsapp message shall be considered.
